Overall Purpose of the Job
To be responsible for the administration & processing of company Integrated Management System (IMS) documentation within the Intellect platform.
Key Activities and Accountabilities
• To provide administrative support to the Global IMS team with a focus on the transfer of existing documents into standard Word or Excel template
• Assist in the creation, editing, formatting & maintenance of Global QHSE documentation
• Assist with uploading & importing documents into the Integrated Management System (Intellect platform)
• Liaise & communicate with other departments to ensure efficient document & information transfer
• Respond to user enquiries relating to the Integrated Management System & direct to the relevant Subject Matter Expert
• Ensure all documentation updates are accurate & there is no conflict in their document against global processes & procedures
• Maintain the document management system ensuring compatability & alignment with internal/external requirements
• When applicable, add documentation relationships with Company IMS
• Withdraw legacy & superseded documentation
• Maintain registers of company/contractor documentation in the latest revision
Job Knowledge and Qualifications
• Previous experience in document control (or similar role)
• Previous experience in document management systems
• Extensive experience with MS Office – Word (document creation, formatting, editing, page setup & templates)
• Good communication skills
• Ability to meet deadlines
• Problem solving skills & attention to detail to produce work with a high degree of accuracy
